How your data is handled
Plain answers to the questions people ask before they join a meeting with AI in the room.
Where the meeting runs
Video and audio run on SAIG's own media servers in the United Kingdom. Nothing is sent to a third-party video provider.
Recording and transcription
Nothing is recorded unless the host turns on SAIG Notes. When it is on, everyone in the meeting sees a red "Recording & transcribing" badge and AI colleagues are shown with an AI label. SAIG Notes keeps each speaker's audio and a transcript so the host can get notes afterwards. Guests do not receive the transcript unless the host chooses to share it.
AI colleagues
AI colleagues listen through SAIG Notes and answer only when someone addresses them by name. They are AI, never claim to be people, and do not act on anything without the host's approval on the review card at the end of the meeting.
The host's AI brief on who is joining
A signed-in host can ask SAIG AI for a short brief on the people invited to or joining their meeting: who they likely are, their organisation and role, and a few facts worth knowing, taken from public, professional information on the web and from what the host already knows (the invitation, a booking note, past meetings with them). It never includes private matters such as home address, family, health, religion, ethnicity, politics or finances, and it says when it is unsure the information is about you. Only the host sees it; it is kept in the host's browser for 30 days and is not stored on our servers. You can opt out: tick "Don't include me in the host's AI briefing" before you join, and any brief already made about you is deleted from the host's view.
Before any AI model sees a transcript
Names and identifiers are replaced with tokens (pseudonymised) by SAIG AI, the estate's AI gateway, before a transcript is sent to a model. The host's notes are written from the pseudonymised text and the names are restored only for the host.
Who can read what
- Host: transcript, notes, actions, recording.
- Guests: live captions and the chat during the meeting; a recap only if the host sends one.
- SAIG staff: no routine access; incident access is logged.
Retention
Transcripts and recordings are kept for the host for 90 days by default and can be deleted by the host at any time. Chat messages disappear when the meeting ends.
